What Personal Data We Collect and Why We Collect It

Photothema uses Gravity Forms on the website to process registrations for the activities we organize.

Information Registration Workshop via Photothema.com

The data provided by the customer is necessary for the registration and informing participants about the activity they have booked.
Mail address: for sending the information and the invoice
Address details: required in case of non-payment
Telephone: for contact in case of changes of location or cancellation due to weather
Camera: so that we can provide good quality guidance
Name and e-mail address are entered in the online accounting program bokbiz for sending invoices and any reminders.
Name, email, phone number, camera and order are entered in Google Contacts.

Customers pay themselves via the data provided in the invoice; we do not receive bank details. If customers pay directly when booking an activity or ordering an e-book, they will be redirected to Mollie's secure payment environment. Even then we do not receive any bank details.

Contact form

Name, email address and telephone number are used to contact and discuss the question or comment. Only if the contact leads to a follow-up, the data will be stored in Google Contacts.

Subscribe Newsletter Mailchimp

Data: name and email address
Photothema uses the data to contact you through the newsletter and to offer updates and marketing.
Newsletter recipients can unsubscribe at any time by clicking in the footer of any email they receive from us, or by contacting us at info@photothema.com.
We use Mailchimp as our marketing automation platform. When registering for the newsletter, subscribers acknowledge that the data entered will be transferred to Mailchimp for processing in accordance with the Privacy Act and the Mailchimp Terms and Conditions.

The following applies to all forms: Visitor comments are checked through an automated spam detection service. We use the WP spam filter CleanTalk for this.

Contact by Phone

If (potential) customers contact us by telephone with questions about workshops or photo tours, we note the information required to handle the question. Usually these are name, telephone number and e-mail. This data is stored in our customer database (Google Contacts).

Email Contact

If (potential) customers contact us by e-mail with questions about workshops, name and e-mail address will be added to our customer base. This only happens if a follow-up is to be expected. In specific cases, we ask for a telephone number via email, so that we can call a customer and discuss their question/request.

Data Retention Period

Contact details will be deleted 10 years after the last customer contact. The name of the customer and the activities he/she has followed with us will remain in our file.

Comments

When visitors leave comments on the site, we collect the data shown in the response form and also the IP address of the visitor and the browser user agent string to help detect spam.
An anonymized string created from your email address (also called a hash) may be sent to the Gravatar service if you use it. The privacy policy page can be found here: http://automattic.com/privacy/. After your comment has been approved, your profile picture will be publicly visible in the context of your comment.
When you leave a comment, that reaction and the metadata of that reaction are kept forever. In this way we can automatically recognize and approve follow-up reactions instead of moderating them.
For users who registered on our website (if applicable), we also store personal information in their user profile. All users can view, change or delete their personal information at any time (the username can not be changed). Website administrators can also view and change this information.

analytics

Photothema uses Google Analytics (Univeral and GA-4) to gain insight into the number of visitors to the website, which pages are visited and how long they stay on a page. We cannot link this information to individual visitors.

By default, certain user-entered data (such as age, gender, and interests) is deleted by Google Analytics after 6 months of inactivity for a particular user for a Universal Analytics property or 2 months for a Google Analytics 4 property.

With Whom We Share Your Data

Aladin Travel

Aladin Travel is the travel organization that takes care of the logistics of various photo tours for us. The booking forms with the customer information are forwarded to Aladin Travel so that they can handle the booking. The travel organization follows the guidelines of the AVG, see privacy policy.

Bokbiz

The Bokbiz online accounting system stores the name and transactions of each private customer.
The VAT numbers of business customers are also registered for the VAT return. If an invoice is sent to a specific address, the address details are also entered. Access is password protected. Accountant Van Noort Gassler Zaandam has a password-protected viewing account.

Mailchimp

We use Mailchimp to send our newsletters. Mailchimp stores the name and email address of subscribers. Access to Mailchimp is password protected. Mailchimp privacy policy follows European legislation.

Google Gmail and Contacts

Google Contacts stores all relevant data per customer. Mails are sent via Gmail. Access is password protected. Google's privacy conditions have been adapted to the privacy law.

STO Guarantee

Activities including accommodation and/or transport are subject to the EU Package Travel Directives. The payment for these activities goes through STO Guarantee. For this transaction, we enter a customer's contact details into STO's secure web environment.

WeTransfer

Photothema uses wetransfer plus to send tutorials and photos to clients. We use email addresses for this. There is a privacy agreement between WeTransfer and Photothema in accordance with the privacy law.

Website Hosting

Our websites are hosted by Antagonist BV. The privacy conditions of this hosting service have been adapted to the privacy law.

Technique

Photothema ensures that its equipment and software are always updated with the latest versions. Email is sent through Gmail. By default, Gmail uses TLS – a security protocol that encrypts emails to protect their privacy. However, when a secure connection is not available (recipients must also use TLS to establish a secure connection), Gmail delivers the message over an insecure connection. We choose the TLS security protocol because we do not store sensitive information (bank details, passwords, etc). send in our contact with our customers.

IT User Regulations

  • All devices are password protected
  • If left unattended, the devices are turned off
  • Third parties do not have access to the devices with customer data
  • Emails are sent with TLS encryption
  • Emails to a group are sent bcc by default, unless the exchange of email addresses is mutually relevant and those involved have given permission for this.

Consent Procedure

Photothema receives data from customers when booking or requesting information. The forms indicate that we process the data to answer the request. We store the data in our customer database (Google contacts). Customers can request which information is registered with us via info@photothema.com.

Photothema contacts its customers based on the interest or question they have indicated. If applicable, an opt-out will be given. Example: a potential customer has indicated his/her interest in a workshop weekend in Zeeland. We will email the customer as soon as the program for this workshop is complete. In this mail we also ask you to let us know if they are no longer interested, so that we can remove them from this mailing list.

Risks

Photothema mainly stores name and address information. We do not process financial data, passwords or sensitive private data. The risks of a possible data breach are therefore limited.
