Conditions Photothema Workshops & Photo Coaching

Here you will find the conditions that apply to the photo workshops and photo coaching. We distinguish between one-off workshops and activities that consist of multiple lessons or meetings and between workshops with open registration or on request.

One-off photo workshops and photo walks with open registration: free cancellation up to 72 hours before the start

You book the activity directly with Photothema. Use the booking forms that are listed with each activity or contact us by phone. When booking an activity you agree to these conditions.

  • You pay when booking an activity.
  • You will receive a confirmation of the date and time from us.
  • You have the right to change your mind, as long as a date and time have not yet been set, with a maximum period of 14 days.
  • Cancellation or rescheduling is free of charge up to 72 hours before the start. We will refund the amount to your account within 2 working days.
  • If you cancel within 72 hours before the start of a workshop, you will receive a voucher for the workshop amount minus €15 administration costs. Your voucher remains valid for two years.
  • Please inform us in writing as soon as possible if you cancel the photo workshop (sms, whatsapp or email).
  • In case of no-show, your right to a voucher expires.

Rules for cancelling or rescheduling a photo workshop on request

For photo workshops on request, the following conditions apply for cancellation or rescheduling. These are also stated in the booking confirmation.

  • In case of cancellation up to 4 weeks before the start: you will receive the full amount back.
  • In case of cancellation within 4 – 2 weeks before the start: you will receive 50% back.
  • If you cancel the workshop less than 2 weeks before the start of the workshop, you will lose the right to a refund; you can still reschedule the workshop (at least 48 hours in advance).
  • Someone else – nominated by you – can take over your place in the workshop. There are no additional charges.
  • For moving a workshop on request we charge €15 administration costs. The condition here is that you at least 48 hours before commencement you must let us know that you want to reschedule the workshop.

Any additional conditions will be stated in the booking confirmation.

Rules for Canceling or Rescheduling a Custom Photo Workshop

For customized photo workshops, different conditions apply for cancellation or rescheduling. These conditions are also stated in the quotation or booking confirmation.

  • In case of cancellation up to 4 weeks before the start: you will receive the entire amount minus €55 administration costs.
  • In case of cancellation within 4 – 2 weeks before the start: you will receive a 50% refund minus €55 administration costs.
  • If the workshop is canceled less than 2 weeks before the start of the workshop, the right to a refund will lapse; you can still reschedule the workshop.
  • Someone else – nominated by you – can take over your place in the workshop. There are no additional charges.
  • We charge € 15 administration costs for moving a tailor-made workshop. This is subject to the condition that before the start you must let us know that you want to reschedule the workshop.

Any additional conditions will be stated in the quotation.

Conditions for (Online) Courses, Photo Discussion and Photo Coaching

The following conditions apply to activities that consist of several lessons or meetings:

  • Unless otherwise agreed, you pay the entire amount in one installment. You will receive an invoice from us by email with the request to pay it within the specified period and in any case before the start of the activity. Via the payment link in the email you can pay quickly and securely via iDeal or Paypal.
  • You have the right to change your mind within 14 days, unless you have already started a course within this period. If you wish to cancel participation, please notify us in writing by e-mail. If we have already received your payment, we will refund it to your account within 5 working days.
  • Individual appointments can always be rescheduled, preferably no later than 24 hours before the start of the lesson.
  • In case of absence without notice, the right to reschedule the appointment to another date expires.
    Canceling group meetings is at your own expense.
  • Please inform us as soon as possible and preferably in writing if you are unable to attend.

Rules for Canceling Multi-day Courses on Location

For multi-day courses on location without accommodation, different conditions apply for cancellation or rescheduling. These conditions are also stated in the booking confirmation.

  • In case of cancellation up to 4 weeks before the start: you will receive the entire amount minus €55 administration costs.
  • In case of cancellation within 4 – 2 weeks before the start: you will receive a 50% refund minus €55 administration costs.
  • If the workshop is canceled less than 2 weeks before the start of the workshop, the right to a refund will lapse.
  • Someone else – nominated by you – can take over your place in the workshop. There are no additional charges.
  • If you do not have a replacement, you will receive a voucher for the workshop amount minus €55 administration costs, with which you can book another activity with us. This voucher is valid for two years.

What Happens if There Are Not Enough Participants for a Photo Workshop?

There is a minimum number of participants per workshop; this is stated in the description. At least 1 week before the time it is clear whether the workshop will take place.

Complaints Procedure

Are you dissatisfied with a lesson or workshop? Then let us know in writing as soon as possible after an activity and try to explain as precise as possible why your expectations were not met. You will receive a response from us within 7 working days. You can send your complaint to info@photothema.com.
